From the School Administrator manual, "Sign-Ups".
Sign-Ups let you (or a delegated Organization Editor) collect structured, per-item volunteer or donation commitments from the parent community — "we need chaperones for the field trip," "please sign up to bring a dish to the picnic." Unlike a Poll, more than one respondent can each claim a slot on the same item, and a respondent can change or withdraw their own claim at any time before the Sign-Up closes. Every parent who can see a Sign-Up can also see, by name, who else has claimed each item — there are no anonymous or hidden responses.
Sidebar count. In the sidebar (web and the app), Polls, Permission Slips and Sign-Ups each show a small number when there is something waiting for you personally, the same way Notices does: open polls you have not answered, permission slips you still owe an answer for, for one of your own children (before their due date; a No counts as answered, the same as a Yes), and open sign-ups you have not yet opened. Opening a sign-up clears it, whether or not you sign up, and sign-ups you created never count for you. No number means nothing is waiting. Admins see the same personal counts a parent does, not a count of everything at the school.
Must be enabled first: check that Sign-Ups is turned on under School Settings → Features (School Settings) — Senior Admin only to toggle, but any admin can then use it.
To create one as a School Admin, go to Manage Sign-Ups (/signups/admin) and click
+ Add Sign-Up. Fill in:
- Title and Description — the description uses the same formatting toolbar as Notices (Notices).
- Opens (go live) and Closes (last day to respond) — defaults to opening immediately and closing 7 days later; edit either as needed.
- Visible until — required. After this date the Sign-Up disappears from its audience's view entirely, independent of when it closed. Prefilled to 14 days after Closes; edit before saving if you want it visible longer or shorter.
- Audience — leave as "Everyone at the school" or pick a saved Audience (Audiences (Targeting)).
- Time Slots and Other Items — click + Add time slot for a scheduled shift (e.g. "9–10am setup crew," with a start/end time) or + Add item for a plain item (e.g. "napkins"). Every item can optionally have a Quantity cap — leave blank for uncapped, or set a number to limit how many people can claim it. A Sign-Up with just one plain item, no cap, is how you'd model a general "we need volunteers" opportunity.
To create one as an Organization Editor: go to your organization's own page (Organizations (Teams, Clubs & Groups))
and use the Sign-Ups section there instead — click Add Sign-Up. This version of the form has
no Audience picker; the Sign-Up is automatically scoped to your organization's own members, shown
as "Targets: <org name> members." A School Admin sees every organization's Sign-Ups on
/signups/admin too, in addition to the org's own page.
Once published, Edit lets you change any field; Delete removes it (with a confirmation prompt). Once a Sign-Up has any claims on it, most fields lock — you can still change the title, description, and any item's quantity cap, but the audience/organization targeting, the schedule (opens/closes/visible-until), and each item's own name or time slot become read-only (a banner on the Edit page explains this, and each already-claimed item shows how many people have claimed it). This keeps an edit from silently discarding someone's claim or changing what they signed up for. If you lower an item's quantity cap below how many people have already claimed it, nobody already claimed is removed — the item just stops accepting new claims until enough people withdraw to bring it back under the new cap.
Seeing who's claimed what: /signups/admin (and an organization's own Sign-Ups section) list
your Sign-Ups but don't show claim details. To see the live claim status — each item's remaining
capacity and the full list of who's claimed it, by name — open the Sign-Up from the same Sign-Ups
page (/signups) every parent uses (also reachable from the left nav for everyone once
the feature is on). As an admin you can open any Sign-Up at your school this way, even one you're not
personally targeted by. You can also claim/edit/withdraw a response yourself from there, the same as
any parent.
Sending a reminder: whoever can edit a Sign-Up can nudge everyone who hasn't claimed anything
yet — helpful if you're a few volunteers short with the closing date approaching. Open the Sign-Up's
Edit page and scroll to the Send Reminder section at the bottom. Optionally add a short note
(e.g. "we still need 3 more volunteers!"), then click Send Reminder. It notifies every currently
zero-claim recipient by in-app notification, push, and email, and the section then shows "Last
reminder sent <when>" so you're not sending blind. Someone who claimed a slot and later withdrew
counts as zero-claim again, so they'll be included in the next reminder. Reminders can only be sent
while the Sign-Up is still open — the button disappears once it closes — and at most once an hour per
Sign-Up (a second click within the hour shows a message instead of sending again).
SwiftUI app: Admins see a + button on the Sign-Ups tab to create a new sign-up. It opens a New Sign-Up form (title, description, schedule, time slots and items) for the general school-wide audience, with no Organization link. Nothing is published, and no one is notified, until you tap Save; Cancel discards it. Opening any Sign-Up's detail screen shows a pencil icon; tapping it turns title, description, schedule, and every time-slot/plain item editable in place, with + Add for either item section and Delete Sign-Up available from within Edit mode (behind a confirmation). There's no Audience or Organization picker in this version of the form — a sign-up's targeting is carried through unchanged whatever it already was, so editing one created from an Organization's own page (still web-only for now — there's no way to create an org-scoped Sign-Up from the SwiftUI app yet) never detaches it. The same claim-lock rule above applies here too: once a Sign-Up has any claims, changing anything besides title, description, or an existing item's quantity cap is rejected with the same message you'd see on web. Parents don't see the + button or pencil icon; they still claim/edit/withdraw their own response from the same detail screen, unchanged by this.
